Job Description Summary

This is a dual report position under the supervision of the Director of Data Services and the Director of Alumni Engagement. The primary functions of this position are to process all gifts and pledges to LDAR and to provide support to the alumni relations team.

Job Description
Responsibilities include:
Alumni Relations
Support the Director of Alumni Engagement, Associate Director of Alumni Relations and Assistant Director of Alumni Relations. Assist with planning and executing alumni relations events. This includes, but is not limited to, researching potential venues, reserving space, coordinating with third party vendors, creating initial drafts for marketing materials, creating registration sites, managing RSVPs, ordering/creating event-related supplies and promotional items, ensuring webpages are updated, and staffing events. Maintain a master event calendar and database for all events planned and implemented by the Law Development and Alumni Relations department. Calendars are to be shared with LDAR, the Law School (through the overall events calendar) and Central DAR as appropriate. Enter all alumni contacts including event attendance into the University's Salesforce database. Provide varied and complex support and assistance to all staff as necessary.
Alumni Communication and Data Management
Work with Communications and other Law School departments to create a schedule of email communications to alumni. Review and send communications per DAR policies. Compile and coordinate the regular release of information to the Penn Carey Law alumni community through relevant social media platforms. Research and run reports as needed to identify alumni in specific regions and practice areas (among other search terms) as requested. Maintain Social Network sites with input from other LDAR staff. Maintain up-to-date contact information on all JD, LLM, and ML graduates as it is received through various outlets. Respond to alumni emails and voicemails, distributing messages appropriately. Assist with content for and updating of Law Alumni website.
Gift Processing
Ensure the proper receipt and tracking of all incoming gifts and pledges that arrive through LDAR including the completion of gift transmittals for processing, credit card information processing and scanning of gift paperwork for archives. Track long-term pledges and pledge payments for both restricted and unrestricted funds. Work with Stewardship team to sort and categorize gifts for appropriate recognition. Additional duties as assigned by the Director of Data Services.
Qualifications
- Bachelor's Degree and 3-5 years' experience in related field or equivalent combination of education and experience is required
- Strong organizational and planning skills with exceptional attention to detail
- Adaptable, energetic, and articulate with a positive attitude
- Demonstrated ability to work independently as well as collaboratively
- Excellent communication skills, both oral and written
- Ability to complete multiple, simultaneous tasks and prioritize to meet deadlines
- Ability to work professionally with high profile speakers, academics, and attendees
- Ability to staff events as needed (including occasional weekends)
- Strong technology skills especially within the Microsoft Office Suite
- Knowledge of Salesforce, Social Network sites, Cvent, and MailChimp a plus
- Experience in producing high quality events a plus
