Job Description

The Alumni Relations Assistant reports to the Director of the unit and is primarily charged with the administrative support of all team members. The Assistant also has full responsibility for a small portfolio of programs each year as assigned by the Director. Responsibilities will include but are not limited to: day to day correspondence with volunteer leaders, creation and maintenance of supporting agendas, meeting minutes, and programming documents for each program, oversight of reporting needs, the email and event submission process, as well as the creation of post-event surveys and analysis of post-event data. This role will also manage all related scheduling needs for the team and the councils and networks it supports. The Assistant will often serve as a primary point of contact with various executive level alumni volunteer leaders and therefore must be able to represent the University and the Alumni Association in a professional, enthusiastic manner with excellent customer service. This role also requires good judgment and utmost discretion with confidential materials. The Assistant will also serve as part of the larger Boston College Alumni Association team and will work on general BCAA events during the year and perform other duties as assigned.

Alumni Relations Assistant positions are currently available in the following units:

Affinity Programs: Alumni Affinity Programs tap into a graduate's shared passions and identities, and are based on specific areas of interest around academic, cultural, professional, social, or spiritual based programming. The Affinities team offers approximately 150 programs per year that develop out of more than 14 Affinity based alumni councils and networks.

Regional Engagement: With over 90 Regional Chapters worldwide, the Regional Engagement Team provides alumni, parents and friends of Boston College the opportunity to connect with one another in their local communities through networking, spiritual, athletic, service and social events.

Full-Time Equivalent Hiring Range: $41,100 to $51,400; salary commensurate with relevant experience.

Requirements

This position requires a minimum of two to three years of increasingly responsible experience in volunteer management and special events in a University, other non-profit settings and for-profit business disciplines; or, an equivalent combination of events and other directly related experience. Exceptional communications and interpersonal skills, as well as demonstrated volunteer and event management skills such as diplomacy, creative thinking, vigilance, and the ability to quickly resolve problems with common sense and available resources is required, as is the ability to manage multiple projects with keen attention to detail and excellent organizational skills. Exceptional proficiency with the Microsoft Office suite is required. Familiarity with fundraising software, especially Blackbaud and CVENT, is preferred. Knowledge of the University budget and purchasing policies and processes is preferred as well as the ability to work flexible hours, and be available for on-site event management evenings and weekends on a regular basis. Also, requires good judgment and discretion with confidential materials.

Requires a high school diploma, bachelor's degree preferred. Candidates should be highly motivated to work in a fast-paced environment that will require some night and evening work.

Must be a team player who is highly motivated and dedicated to the goals of advancing higher education and have an appreciation for Jesuit Catholic education and the goals and values of Boston College. A desire to build a career in advancement is a plus.
