Summary:


The Executive Director (ED) of Alumni Engagement plays a critical role in engaging alumni with each other, connecting them to current students, and maintaining connections with Rollins and its three programs: the College of Liberal Arts, Crummer Graduate School of Business and the Holt School. Reporting to the Associate Vice President for Advancement, the ED is responsible for establishing, developing, and implementing strategic alumni engagement programs to support the four pillars of alumni engagement: communications strategies, philanthropy, experiential engagement, and volunteer leadership. The overriding theme for engagement is that we ask alumni to support the student experience, while we create forums for them to foster their connections to their college, increase their understanding, engender their curiosity, and enhance their service and philanthropic investments. Major initiatives include the execution of the priorities outlined in the College's Alumni Engagement Strategic Plan and the Crummer Alumni Relations Strategic Plan. Key programs and tactics include Alumni Weekend, Reunion, regional and affinity programs, internship offers, and partnerships with Career & Life Planning and Admissions. The ED will also provide leadership and staff support for the Alumni Advisory Board of Directors and the Crummer Alumni Board.

Primary Responsibilities
  • Develop, execute, and evaluate the College's Alumni Engagement Strategic Plan and the Crummer Graduate School of Business Alumni Strategic Plan and its outcomes. Responsible for increasing the opportunities for alumni to connect and engage with the College and each other as outlined in the Strategic Plans.
  • Conduct alumni attitudinal surveys under the direction of the Vice President of Institutional Advancement to assess progress, inform future goals, and determine adjustments to the Strategic Plan to serve the mission of the College.
  • Reinvigorate the regional clubs among Crummer alumni in cities with the highest number of alumni.
  • Responsible for achieving the KPIs tied to the office's goals through the annual plan the Alumni Engagement Strategic Plan and the Crummer Strategic Plan. These include the number of volunteers in the pipeline; number of volunteers "matched;" quality alumni board leadership and process; the number of events and attendees; conversion of attendees to volunteers and/or donors; increased engagement as defined by the internal scoring system; and communications views and engagement.
  • Serve as leader of Alumni Engagement, with day-to-day oversight for the alumni engagement program and its four staff members. Provide advice, support, and guidance to staff; hire, train, and evaluate staff as appropriate by being versed in all aspects of the four pillars of alumni engagement: communications strategies, philanthropy, experiential engagement, and volunteer leadership.
  • Develop and deliver monthly, quarterly, and annual reports displaying the CASE Alumni Engagement Metrics (AEM) standard measurements for alumni engagement around the four pillars. Annual AEM goals should be established for the overall program as well as for individual staff performance.
  • Lead the staff to create, implement, and evaluate a comprehensive and inspiring plan for Alumni Weekend to ensure the experience brings attendees closer to the institution and meets participants' expectations. Work in partnership with the campus community, affinity volunteers, trustees, class volunteers, the advancement team, the president's office, the annual fund, major gifts, and planned giving to establish an annual plan for Alumni Weekend with goals, deliverables, and timelines for each affinity and class, and overall.
  • Provide leadership and staff support for the Alumni Advisory Board of Directors, as needed in concert with the Dean, and the Crummer Alumni Board:
  • Execute three full-board meetings and regular Executive Committee conference calls annually for both Boards and ensure staffing for these Board committee calls as needed;
  • Actively participate and guide new board member identification, recruitment, meeting nominees in advance, recruiting them when nominated with a clear agenda and effective onboarding; on-board new presidents so they can have quick traction and an understanding of their role and responsibilities;
  • Facilitate board work, collectively and individually, that aligns with IA annual planning and institutional priorities, creating a clear call to action for alumni board members, a sense of purpose for their work, and acknowledgment for joint successes;
  • Manage relationships with board members including annual and major gift work as appropriate.
  • Ensure seamless communication with CLA, Crummer, and Holt alumni. For the Crummer Graduate School, work with their marketing office to ensure continuity in branding, consistency in messaging, and appropriate information flow.
  • Collaborate with faculty, staff, and advancement colleagues to create a consistent and meaningful volunteer experience. Coordinate logistics for programs and events which take place on and off campus.
  • Research best practices and remain current on alumni engagement trends, engagement strategies, and services offered by other institutions.
  • Represent the Division of Institutional Advancement at various alumni events.
  • Ensure management of Alumni Engagement student worker(s) to include weekly check-ins, professional development, and goal setting.

Minimum Qualifications:
  • Bachelor's degree.
  • Five (5) years of experience in a job-related field.

Preferred
Qualifications:

  • Master's degree.
  • Experience in an institution of higher education or non-profit organization.

Knowledge, Skills, and Abilities:
  • Strong interpersonal skills with demonstrated ability to work successfully and effectively with a wide range of constituents and manage complex relationships; Proven collaboration and teamwork skills, and ability to work well with alumni and donors as well as Rollins faculty, administrators, staff, and students.
  • Proven skills at building, utilizing, and supporting effective volunteer structures to meet goals.
  • Proven record of leadership, management, and supervisory skills; Possession of a supportive and accessible management style, and a strong commitment to personal and professional development, with proven track record motivating, training, and managing staff with diverse skills and experience.
  • Ability to organize and oversee planning for large-scale, complex, high quality events requiring attention to detail including pre, on-site, and post-event logistics and follow up, and the ability to leverage this information for budget/data/metric reporting purposes.
  • Proven project management expertise; highly organized; ability to set priorities and manage time effectively in a deadline-driven environment. Includes the ability to create accurate and workable timelines, effectively prioritize tasks, recognize and adjust for potential risk to deadlines, and manage project contributors at all levels of internal and external partnerships.
  • Strong verbal and written communication skills; thorough knowledge of business English, spelling, and grammar.
  • Knowledge of modern data management practices and techniques including information systems, data modeling, and models of analysis that lead to effective decision making on behalf of the program.
  • Proficiency in Microsoft Office, ability to learn and utilize Ellucian Banner database, Argos reporting, iModules, and other technology/systems.
  • Ability to handle confidential information, maintain and update files with a high degree of accuracy, and sensitivity to the importance of stewardship and donor relations.

Work Environment:

  • Campus-based, front-facing position, working in an office environment with other staff members.
  • Regular use of a computer.
  • Must be able to work flexible hours which includes evenings and weekends throughout the year.
  • Travel expectations include 15%-25% time away from the office. This will include: annual international travel, monthly out of state travel, as well as travel to select in state regional locations.
