PURPOSE OF POSITION

:

Performs accounting-related functions for the WIOA grants, including requests for payment processing, and verification. Backs-up and assists with purchase card review and documentation retention. Provides administrative support, support to the grant accountant, and informational sessions for employees. Maintains various records, including sensitive information.

ESSENTIAL JOB FUNCTIONS

:



  1. Fiscal Administrative Support (80%)
    1. Works with leadership to assist with tracking grant hours and personnel costs for proper allocation.
    2. Creates journal entry requests to make corrections to allocated expenses. Reports variances to leadership.
    3. Reviews invoices and supporting documentation for proper authorization and conformance to requirements, for accuracy of coding and completeness of information.
    4. Processes staff related expenditures: Travel Vouchers; Expense reimbursements.
    5. Assists in obtaining projections regarding participants' needs during fiscal year crossover.
    6. Processes tuition assistance through the College's financial accounting system. Coordinates with Student Accounts to resolve issues with student tuition assistance.
    7. Follows through with Business Office to pay bills in a timely fashion.
    8. Works with leadership on developing and maintaining departmental records and reports for multiple funds for expenditures, invoices and receipts for the department.
    9. Monitors budgets, tracking current status, alerting leadership to overages.
    10. Develops and maintains financial office forms and procedures to assure organized processing of information and requests.
    11. Uses the College's financial accounting system to create requisitions for Purchase Orders; follows-up with Business Office and vendor to ensure processing in a timely manner.


  2. Administrative Grant Support (20%)
    1. Establishes and maintains grant records and files.
    2. Uses word processing, spreadsheet, database, and other specialized software to generate materials which may include reports, contracts, forms, tables, tests, etc. from rough draft and/or verbal instruction. Reviews for grammar and edit as necessary.
    3. Updates, compiles and distributes information and reference materials for the department, which may require running reports, selecting appropriate data from various sources, and preparing summaries and reports.
    4. Complies with college, State, and federal requirements, Federal Educational Rights of Privacy Act (FERPA), accreditation requirements and all other applicable privacy laws.


GENERAL JOB FUNCTIONS:

  • Establish and maintain effective working relationships with students, staff, other agencies, and the general public.
  • Perform other duties as assigned within the scope of the classification.
  • Participate in college committees when requested.
  • Maintain proficiency by attending training and meetings, reading materials, and meeting with others in areas of responsibility, which may require travel.
  • Maintain work areas in a clean and orderly manner.
  • Maintain student confidentiality, data integrity, and comply with all related college, state, and federal standards, including the Family Educational Rights and Privacy Act (FERPA).

REQUIRED QUALIFICATIONS

:

Associate's degree or equivalent and at least 2 years of related work experience or any equivalent combination of education and experience which provide the knowledge, skills, and abilities required to perform the duties as described.

Ability to exemplify traits that reflect the College's culture, including integrity, a customer service orientation, cultural competency, trustworthiness, flexibility and a willingness to change.

SPECIAL REQUIREMENTS OR LICENSES

:

Driver's license valid in the State of Oregon for travel to meetings at various locations.

WORKING CONDITIONS

:

The position requires limited (0-20%) ability to use dexterity and fine motor skills assemble, build or repair machines or other objects. Occasional (21-50% of the time) use of office equipment.

The position requires minimal (5-20%) physical effort such as lifting, carrying, or movement, etc. Movements required to complete work are not difficult, and only require some degree of agility and hand eye coordination.

The work environment is well protected, with virtually no hazards or obstacles (0-5%). There is very little element of personal risk or hazard. Job conditions are usually stable, with virtually no (0-5%) issues of confinement, temperature change, incident of noise, or interactions of a disagreeable nature, inside/outside work, dirty conditions, exposure to contagious disease, etc.

SUPERVISORY RESPONSIBILITIES

:

Supervision of others is not a typical function assigned to this position. May provide training and orientation to newly assigned personnel, and may assign work to student workers.
