About the Department
External Relations raises funds and develops partnerships to support faculty, students and programs, and builds relationships that advance the mission of UC Merced with government, community, business, industry and opinion leaders, through strategic communications, public outreach and visibility strategies. External Relations supports the work of the UC Merced Foundation, a volunteer fundraising board that helps promote and increase private philanthropic support, advocates for the university and manages a portion of the university's endowment.

The division comprises several departments: Alumni Relations, Arts, Government and Community Relations, Marketing, Philanthropy and Strategic Partnerships, Protocol and Special Events, and Public Relations.

About the Job
Uses skills as a seasoned, experienced, fundraising professional. Plans, schedules, and implements moderate-sized, comprehensive fundraising and alumni relations projects and programs, including specific fundraising programs such as annual fund, alumni relations, research, etc. May coordinate and oversee the work of support staff and / or other professionals. Demonstrates good judgment in selecting methods and techniques for obtaining solutions. Position is expected to raise gift dollar amounts as established at each fundraiser specialization.

Key Responsibilities
  • The Director serves as a liaison between External Relations staff, campus fund managers, General Accounting, Budget and UCOP providing expertise on matters of gift and fund management.
  • The Director will ensure compliance with University policies and outside regulatory agencies to meet fiduciary responsibilities.
  • This Director will assist with policy development and manage the day to day fund-related operations including monitoring turnaround time, workflow issues, and providing excellent frontline customer service.
  • The Director is responsible for developing, implementing and managing the reporting models for communication of fund balances and other financial information to campus, UCOP and other external users. This includes serving as primary contact for campus units for information and advice regarding gift and endowment fund activity.
  • Reviews all gift agreements to provide recommendations to management and evaluate classification and proper administrative actions necessary to proceed for the benefit of either the Regents or the Foundation.
  • The Director will work very closely with the Gift Administration unit on gift fund issues and will serve as the in-house expert for policy related to administering gift funds and coordinates with University Counsel as needed.
  • The Director is responsible for ensuring the AVC and VC and other External Relations and campus leaders are apprised of "critical needs" or issues when they arise and require immediate attention – especially when these may have a donor relations implication.
  • The Director is responsible for working very closely with program managers across campus to ensure that all gifts and endowment payout are spent according to donor intent.
  • In addition, the Director will devise a training strategy for campus gift fund management, provide training programs for various External Relations staff members and campus partners and maintain and expand training materials and resources for the unit as needed.

    Fund Stewardship
  • The Director will work closely with the Director of Stewardship as it relates to annual donor reporting to ensure integrity of the financial data and gift terms.
  • Maintains a working knowledge of stewardship functions in order to provide cross-trained support when necessary. This may include, but is not limited to, support of stewardship financial reporting functions and communications and it relates to gift use.
  • Supports special projects and initiatives as it related to fund and gift management.

    Qualifications
    Bachelor's degree in related area and minimum of five (5) years experience with emphasis on writing and communications is required.

    Licenses: Maintain a valid US Driver's License

    Knowledge & Skills
  • Knowledge Skills Five years of prior experience managing programs and/or staff involved in the compilation, review, analysis and reconciliation of funds, accounts, expenditures or other related financial/business transactions.
  • Experience in a complex university advancement services, fundraising or similarly structured environment including the management and processing of large volumes of information.
  • Ability to quickly and efficiently learn university and IRS policies and regulations.
  • Strong written and interpersonal communication skills to establish and maintain good working relationships throughout the organization and with outside constituencies.
  • Thorough analytical and critical thinking skills, including aptitude in creative and effective decision making and problem identification, avoidance and resolution.
  • Strong skills in maintaining confidentiality.
  • Willingness to work evenings and weekends.
  • Excellent computer skills: Microsoft Office, database software (experience with Raiser's Edge preferred) and online research.
  • Strong analytical skills with the ability to conduct research, think strategically, analyze information and complex multifaceted problems and situations in order to develop strategies for problem resolution and program planning.
  • Highly organized, efficient and attentive to detail and accuracy; ability to independently plan, prioritize and manage multiple projects and activities, follow through on assignments with minimal supervision and meet deadlines in a dynamic and ever-changing environment.
  • Ability to provide creative and constructive suggestions for improvement and efficiency and/or effectiveness of program; ability to provide program metrics.
  • Knowledge of CASE, NACUBO, GASB standards of management reporting of private support in institutions of higher education is preferred.
  • Working knowledge of accounting systems, procedures and policies to include working knowledge of general ledger and subsidiary ledger systems is preferred.
  • Knowledge of university and campus gift policies and procedures; principles of fundraising and ability to negotiate gifts with Development officers is preferred.
