PURPOSE:

Reporting to the Vice President for University Advancement, the Director of Alumni and Donor Relations, is a member of the Advancement team, is responsible for the overall responsibility of alumni relations, as well as designing, implementing and coordinating an institution-wide comprehensive donor relations and stewardship system that appropriately and consistently promotes accountability to comply with donor intent for all gifts and recognition of donors at all levels.

The integrated donor relations program encompasses donor recognition through, but not limited to, events, endowed funds, scholarships, fellowships and planned giving reporting, and stewardship strategies for major gift donors to foster and nurture long-term, meaningful relationships between the University and its donors. Coordinate scholarship donor stewardship activities, including: campus-wide annual scholarship donor recognition events, scholarship recipient thank you letters, and annual donor report mailings. The incumbent is responsible for creating meaningful opportunities to engage donors from all "walks of life" and has a significant effect on the University's ability to recognize and retain current and future donors-which, in turn, affects private giving that enables the University to provide the best education possible to its students-both inside and outside the classroom.

In addition, the position must sustain positive and mutually-rewarding relations between the University and its donors; partner with Advancement team members and other University offices to determine the best strategies for effective stewardship of donors; maintain ongoing and active networking with internal and external constituencies; and provide facilitation of recognition events and coordinate various activities for donor societies.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
  1. Establishes and manages information accountability tracking processes regarding acknowledgement, recognition, event attendance, scholarship management and stewardship recognition and reporting for past and current major donors to enhance their relationship with the University and increase the likelihood of continued contributions. Develops and assesses policies and procedures across the division and university that are essential for a comprehensive donor relations program.
  2. Designs, documents, and implements a systematic and integrated donor relations program that encompasses donor recognition events, routine endowment reports, and building naming dedications. Responsible for devising and using consistent, accurate, and appropriate information-sharing mechanisms for stewarding prospects and donors. Proactively supports the stewardship responsibilities of the advancement staff by assisting them in establishing and coordinating individualized stewardship plans for donors to their colleges.
  3. Works with Directors of Development in stewardship of all scholarship donors and proactively engages scholarship students in the acknowledgement and recognition of their scholarship donors. Key Advancement coordinator for major donor recognition and stewardship events.
  4. Works collaboratively with University Advancement staff to compose letters, compile appropriate invitation lists, engage featured program participants, create programs and provide program materials, prepare program scripts and participant remarks (as needed) and create and/or obtain donor awards and recognitions.
  5. Recommends and facilitates on and off-campus publicity of major gifts and donors with University Publications, with Media Relations. Advises on and facilitates the recognition of donors in both print and Web-based publications. Contributes donor and gift information for the Annual Honor Roll of Giving Report, oversees production of the donor roll, determines the report recipients, and facilitate the mailing.
  6. Scholarship and Endowment Administration: Serves as University Advancement's liaison for scholarships working closely with Financial Aid and Scholarship Office, Student Financial Services, colleges, departments and units to ensure that scholarships are administered according to donor intentions and comply with University policies and procedures, including periodic review of existing scholarship guidelines.
  7. Maintains master files of all documentation related to scholarships, including gift agreements, guidelines, donor background, and other relevant documents, ensuring files are complete and archived in an organized and timely manner.
  8. Creates innovative programs and projects to recognize and steward donors.
  9. Able to interpret donor stewardship regulatory requirements, policies and practices consistent with CASE and CSU standards and best practices.
  10. Responsible for developing and managing a comprehensive Alumni Relations plan.
  11. Hires, trains and supervises the Alumni Relations Specialist and student assistants.
  12. Oversees all alumni relations outreach including newsletters, e-contacts, social media, networking events and reunions.
  13. Responsible for the Alumni Leadership Group.
  14. Serves as the CSUMB campus representative on the CSU Alumni Council.
  15. Works with vendors, affinity partners and University partners as needed to engage and improve programs and alumni engagement.

Other Functions:

KNOWLEDGE, SKILLS AND ABILITIES:

Demonstrated Working knowledge and experience of general practices and programs related to donor relations and fundraising; budget policies and procedures. Proven knowledge of and ability to apply fundamental concepts; basic methods and procedures for research and statistical analysis and the ability to apply them. Knowledge and ability to create, execute and/or support, and oversee a comprehensive campus-wide donor acknowledgment and recognition plan which includes advising on complex and carefully orchestrated cultivation events and programs for the University's major donors.

Required Skills: Excellent organizational, interpersonal, verbal, and written communication skills. Excellent social skills, with large groups as well as with individuals, with the ability to maintain confidentiality. Being detail oriented, well organized, focused and goal-oriented, with a high level of initiative and energy, is essential, as well as adept at problem solving and using judgment in situations requiring independent initiative and tact.

Ability to: learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the applicable program, organizational unit, and/or administrative specialty; analyze data and make accurate projections using business mathematics and basic statistical techniques; organize and plan work and projects including managing multi phase projects from inception to completion; make independent decisions and exercise sound judgment; compile, write, and present reports related to program or administrative specialty; establish and maintain effective working relationships within and outside the workgroup and serve as a liaison for the organizational unit. Ability to generate creative solutions for stewarding donors in order to advance the University's efforts to maintain and strengthen high quality individual relationships with donors. Proficient in the use of personal computers including word processing, spreadsheet and database software. Demonstrated ability to address the essential functions associated with this position including the knowledge and abilities identified above.

MINIMUM QUALIFICATIONS:

Equivalent to a bachelor's degree from an accredited college or university AND/OR equivalent training and professional work experience in donor relations, stewardship and communication. Three to five years of progressively responsible experience relevant to the job responsibilities. Two years of supervisory and/or management experience.

PREFERRED QUALIFICATIONS:

A bachelor's degree with a minimum of three to five years experience, preferably in higher education (or a comparably complex organization), in development, stewardship, advancement services or related field. Experience in using Raiser's Edge, or similar software; PeopleSoft (primarily), Oracle, or other relational databases; and Microsoft Professional Suite-especially PowerPoint, Word, Excel, etc. Highly desirable: Demonstrated understanding of and commitment to CSUMB's Vision.

PHYSICAL ENVIRONMENT:

Office environment with standard equipment and tasks. Position requires working at a computer and desk for extended periods of time. May require travel between campus offices and off-campus locations.

There are components of this job which are deemed essential on campus. This position will primarily work on the main campus, with occasional work from home. This position requires working on campus with students. The health and safety of our students, faculty, and staff remain our highest priority.
