Gift Securities Data Management Assistant (Four Month - Temporary)

The Gift Securities Data Management Assistant (Four Month - Temporary) will report to the Manager of Gift Securities in the Controller's Office within the Financial Management Services group of the Business Affairs division. The Gift Securities team is responsible for facilitating the transfer of all gifts of appreciated securities to the university as well as managing the valuations, liquidations and collections processes for each gift. The Assistant will be responsible for data entry, documentation management, administrative assistance and operations support related to new stock gifts during the gift season for the calendar year (October 5, 2020 -January 31, 2021). The Assistant will not be able to take time off during the assignment in November and December, except for University designated holidays (Thanksgiving, Christmas and New Year's Day).

Core Duties:
  • Create and set up new gift notices in the Gift Securities database - Gifts Received And Securities Proceeds (GRASP-SQL), generate the Gift Memo and create the document hyperlink. Attach all relevant gift documentation to the Gift Memo.
  • Enter all sales confirmation and proceeds received activity in GRASP for non-Dreyfus gifts. Create deposit summary for WFB check deposits.
  • Open, sort, scan and file physical mail. Create pdf files from emails and file.
  • Send auto-generated gift received' emails at end of day including set up and mailing of attestation forms.
  • Assist with entering tax basis information and creating the tax basis docket/cover sheet.
  • Help obtain secondary valuations for non-Dreyfus gifts.
  • Occasionally contact brokerage partners to follow-up on operational process.
  • Assist the Gift Securities team with other specialized, high-priority projects as needed.

    Skills and Abilities:
  • Proficient in MS Word, Outlook and Excel (experience with Access database preferred).
  • Ability and willingness to learn new skills, procedures and computer systems.
  • High comfort level and accuracy in working with numbers.
  • Must be detail-oriented and highly organized.
  • Ability to prioritize and work in a deadline-sensitive and customer-service oriented environment.
  • Exhibit high degree of professionalism and integrity, maintain confidential information.
