DESCRIPTION OF BASIC FUNCTIONS AND RESPONSIBILITIES
Performs a variety of complex and highly responsible administrative and program support activities for select programs. Plans, organizes, and coordinates the day-to-day activities and operations of assigned program and promotes assigned program. This position requires organizational, problem solving, and decision-making skills and travel throughout a ten-county northern California region. Employees in this position receive minimal supervision within a framework of standard policies and procedures. This is an administrative, overtime exempt position.

The Project Coordinator will grow and sustain the District's BOLD (Bachelor's through Online and Local Degrees) program by developing intersegmental pathways from high school to graduate school that will allow students to achieve educational goals without leaving the region.

CLASSIFICATION: Range 15 on the Administrative Confidential Salary Schedule, 40 hours per week, 12 months per year. Work assignment hours are 8:30 a.m. - 5:30 p.m., Monday through Friday.

SUPERVISOR: Dean of Innovation or designee.

This is a Classified Administrator position with a default CalPERS retirement.

Typical Duties, Knowledge and Ability
Essential Functions:

  • Administers the day-to-day activities and operations of select programs.
  • Serve as primary point of contact for select programs.
  • Develop, cultivate, and maintain relationships with K-12 education and community stakeholders, business, nonprofit, philanthropic and civic sectors.
  • Examine data and use data to drive direction and results.
  • Monitors and tests fixes to ensure problems are adequately resolved to assigned program software.
  • Obtains necessary data sharing agreements for assigned project.
  • Incorporate a continuous improvement process to drive continued strategic results and increase efficiency.
  • Provides information and updates for select programs and to key stakeholders.
  • Maintains accurate and detailed calendar of events, due dates, and schedules as they relate to assigned program(s) and services to ensure proper tasks and activities occur as scheduled.
  • Be an effective and contributing member of team assisting and supporting in its day-to-day activities.
  • Represents department in a variety of meetings in support of assigned projects.
  • Promotes appropriate program(s) as assigned; identifies and recruits potential participants; develops brochures, flyers, social media posts, and other promotional materials; makes presentations to appropriate groups.
  • Coordinates with various community partners and stakeholders.
  • Serves as a resource to others for data, research, projects, schedules, and other information.
  • Resolves issues and ensures program objectives and policies are properly implemented.
  • Monitors expenditures in line with project budget and assists with the development of the assigned project or program budget.
  • Compiles, analyzes, prepares, and submits project reports.
  • Compiles, maintains, and reviews computerized files and records.
  • Performs related duties similar to the above in scope and function as required.
Knowledge of:
  • The K-12 California public educational system as well as community college and four-year postsecondary systems
  • Principles, procedures, objectives, and practices related to collect impact structures
  • Computer and applicable software programs including database and word processing software
  • Family Educational Rights and Privacy Act (FERPA) and data sharing best practices.
Ability to:
  • Effectively relate to a diverse community population that includes a wide range of ages, socioeconomic, cultural, and ethnic backgrounds
  • Work with a significant degree of independence and judgment
  • Analyze problems, determine effective solutions, and take independent action for successful results
  • Analyze data and prepare comprehensive written and oral reports
  • Work effectively under pressure, prioritize, and meet multiple deadlines
  • Establish and maintain effective working relationships with those contacted in the performance of required duties
  • Present and facilitate training sessions
  • Effectively learn new concepts and technology
  • Operate standard office equipment and computers and learn and use software applications such as Microsoft Office programs, Access, Colleague, WordPress, and other programs.


Experience/Education
Experience Required:

  • Hold a valid driver's license maintained throughout the duration of employment with the District. Travel is required.
Experience Preferred:
  • Bachelor's degree in public administration, computer information systems, business administration, or organizational leadership or the equivalent.
  • Experience developing and maintaining effective working relationships with school personnel.
  • Demonstrated success in working collaboratively and cooperatively with stakeholders.
  • Demonstrated sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds of community college students and staff.
  • Demonstrated successful interpersonal communication and leadership skills.

New Administrative Appointments will be placed at the step 1 on the Administrative Salary Schedule and will graduate to the next step on July 1st of the following year if they have rendered 6 months of satisfactory service, with subsequent steps annually thereafter to a maximum fifth step.

Salary placement would only be negotiable if the candidate held the same position with another community college and step 2 or 3 would be the maximum considered depending on the number of years of service.
